Power BI for Finance: Turn Business Central Data into KPIs

Power BI for finance dashboard on a laptop showing Business Central KPIs

Power BI for finance teams turns the numbers already sitting in Dynamics 365 Business Central into clear, live dashboards. Instead of exporting ledgers to Excel every month-end, your CFO, managers and accountants can open ready-made reports on profit, cash and receivables in a few clicks.

In this guide, we explain in plain English what the Power BI Finance app for Business Central is, what you need to get started, how the setup works and how a finance team in the UAE or wider GCC might use it day to day.

Key takeaways

  • Microsoft offers a free Power BI Finance app for Business Central online, with ready-made reports such as Financial Overview, Income Statement, Balance Sheet, Budget Comparison and Aged Receivables.
  • The app is free, but the people who install, refresh and view the reports need a paid Power BI licence (Pro), or your organisation needs Premium or Fabric capacity.
  • Good results depend on clean setup: G/L account categories on every posting account, the right fiscal calendar, and one app per Business Central company.

Power BI for finance: what is the Business Central Finance app?

Power BI is Microsoft’s data visualisation service. It reads data from Business Central and shows it as interactive charts and tables that you can filter, drill into and share. Business Central already has its own reports; however, Power BI adds flexible visuals, drill-down and the option to combine data from different companies.

Microsoft publishes ready-made Power BI apps for several areas of Business Central, including Finance, Sales, Purchasing, Inventory, Projects and Manufacturing. The Finance app became generally available in the 2024 release wave 2. Each app has two parts that work together:

  • A connector app inside Business Central. It holds the data feeds (APIs), the setup pages and the pages that show the reports inside Business Central. It comes preinstalled.
  • A Power BI template app. You install it from Microsoft Marketplace. It contains the semantic model (the organised data behind the reports) and the reports themselves.

Think of it like a ready-furnished office. The building (Business Central) and the furniture (the reports) are supplied; you only need to put the right files in the right drawers so everything shows correctly.

Why it matters for UAE & GCC businesses

Many GCC businesses run as groups, for example a trading company in Dubai with a sister entity in Riyadh. In Business Central these are often separate companies. The Power BI apps currently work per company, so each company needs its own copy of the app in its own Power BI workspace. As a result, a group view usually means either comparing workspaces side by side or building a custom report that combines companies.

In addition, the setup lets you match local ways of working:

  • UTC offset. Your Power BI app may be hosted in a data centre in another region, so you set the time offset to make “today” match your local Gulf time.
  • Work days. The default is Monday to Friday, but you can change it to match your actual working week in each country.
  • Calendar type. You can choose a fiscal year that starts in any month, a standard January to December year, or a week-based calendar.
  • Dimensions. The General Ledger Entries report lets you slice entries by all eight shortcut dimensions, such as branch, emirate or cost centre.

How it works in Business Central: setting up Power BI for finance

The steps below follow Microsoft’s documented setup for Business Central online. The Power BI apps aren’t available for on-premises installations.

  1. Check licences. The person who installs the template app, the person who refreshes the data and every report viewer need Power BI Pro, unless you use Power BI or Microsoft Fabric Premium capacity.
  2. Install the Finance template app. Get it from Microsoft Marketplace. When asked to sign in, choose OAuth2 and set the privacy level to Organizational.
  3. Run the Connect to Power BI assisted setup. Choose the calendar type, UTC offset, date table range and work days, then link each embedded report to its Power BI workspace.
  4. Set G/L account categories. Every posting account in your chart of accounts needs an account category and subcategory. Then review the mapping on the Power BI Account Categories page.
  5. Connect and refresh. In the Power BI service, enter the environment and company names (the company name is case sensitive) as parameters, then refresh manually or on a schedule.
  6. Keep dimensions up to date. The assisted setup creates a job queue entry that updates dimension set entries. Make sure it runs regularly, for example nightly or weekly, so dimension values show in the reports.

If you have a lot of history, you can also set start and end dates on the Power BI Connector Setup page. This loads only the period you want to analyse, which keeps refreshes faster.

A practical example

The following scenarios are illustrative only and don’t describe a real client. They show how Power BI for finance can serve three different roles.

The CFO before a board meeting. A distribution company in Dubai wants a quick view of the quarter. The CFO opens the Financial Overview report inside Business Central to compare revenue with the same quarter last year. Next, she checks the Profitability report to see why margins dipped, and then the Liquidity KPIs report for the current, quick and cash ratios.

The credit controller on Monday morning. The receivables team opens Aged Receivables (Back Dating), groups balances by payment terms and spots customers with invoices more than 30 days overdue. As a result, they know which customers, and which invoices, to chase first. The Late Payments report then shows which customers pay late most often.

The branch manager. A manager filters Budget Comparison by a dimension such as branch, and by income and expense categories, to see where spending is running ahead of budget.

Best practices checklist for Power BI finance reporting

  • Clean the chart of accounts first. Each end-total account should reference exactly its matching begin-total range; otherwise refreshes can fail with duplicate account errors.
  • Use one workspace per app and per company. This makes it easier to control who sees which numbers.
  • Keep custom versions separate. Copy reports you change into another workspace so a template app update doesn’t overwrite your edits.
  • Give the refresh account Read permissions to the Business Central tables the model uses, and add more than one admin to each workspace.
  • Use APIs for custom reports. In Power BI Desktop, connect through Get Data, then Online Services, then Dynamics 365 Business Central, and prefer the standard APIs over legacy web services.

Frequently asked questions about Power BI for finance

Is the Power BI Finance app for Business Central free?

Yes, the app itself is free to install. However, users who install the template app, refresh the data or view the reports need a Power BI Pro licence, or your organisation can use Power BI or Fabric Premium capacity. Report users also need a paid Business Central licence, such as Essentials, Premium or Team Member.

Does the Finance app work with Business Central on-premises?

No. Microsoft’s ready-made Power BI apps are only available for Business Central online. On-premises customers can still build their own Power BI reports on Business Central data.

Can one Power BI app show all the companies in our group?

Not today. The apps work per company, so you install a separate copy for each Business Central company, each in its own workspace. For a combined group view, you can build a custom report in Power BI Desktop that loads and merges data from several companies.

Why are dimensions missing from my Power BI reports?

The reports read dimensions from a special table that a job queue entry called Update Dim. Set Entries keeps up to date. Check that this job queue entry exists, has the status Ready and runs successfully, then refresh the semantic model.

Can we customise the standard finance reports?

Yes. From Business Central version 26.2, you can download the Finance app’s .pbix source file and adapt it. Keep your custom copies in a separate workspace so a template app update doesn’t overwrite your changes.
