You’re entering a purchase invoice or sales order in Dynamics 365 Business Central and need to add a 5% surcharge or split a quantity in half. Most people reach for a desk calculator or their phone. There’s a faster way that’s already built in.
Business Central’s number fields work like a small calculator. You can type a simple formula straight into the field, and Business Central works out the answer for you. This guide shows how it works, with real examples and the rules to remember.
Key takeaways
- In number fields such as Quantity, Unit Price or Direct Unit Cost, you can type a formula instead of a final number.
- Use + – * / and brackets. Press Tab or click away and Business Central calculates the result.
- Only the result is saved, not the formula, so check the number before you move on.
- It’s a standard feature: no setup, no extension and no extra licence needed.
What is the in-field calculator in Business Central?
Microsoft calls this entering quantities by calculation. When you type into a number field, you can enter a formula like 19+19 or 12*4 instead of the final value. As soon as you leave the field, Business Central replaces the formula with the answer, for example 38 or 48.
| You type | Business Central saves | What it does |
|---|---|---|
| 19+19 | 38 | Addition |
| 41-9 | 32 | Subtraction |
| 12*4 | 48 | Multiplication |
| 12/4 | 3 | Division |
| (10000*1.04)+120 | 10,520 | Brackets for multi-step math |
Why it matters for finance and operations teams
Typing numbers from a separate calculator is where small transcription errors creep in: a missing zero, two swapped digits, a rounded figure. For teams in the UAE and GCC that work with VAT, surcharges, discounts and multi-currency invoices every day, those small errors add up and cost time at month-end.
Doing the maths inside the field keeps your hands on the keyboard, removes one copy-and-paste step, and makes data entry faster and more accurate.
How to use the in-field calculator: two examples
Example 1: add a 50% buffer to a quantity
You have a line for 12 units, but need to add a 50% buffer for possible breakage. Instead of working it out in your head, type 12*1.5 in the Quantity field.

Press Tab, and the field updates to 18.

Example 2: apply a price increase plus a fixed adjustment
Pricing changes aren’t always a simple percentage. Say the Direct Unit Cost is 10,000, the vendor applies a 4% increase, and then adds a fixed adjustment of 120. In the Direct Unit Cost field, type (10000*1.04)+120.

Press Tab or click anywhere else, and the field updates to 10,520.

Rules to remember
- Number fields only. It works in quantity, price, cost and amount fields. It won’t work in text fields such as No. or Description.
- No currency symbols. Type only numbers and operators, for example 100*1.05, not AED 100*1.05.
- The result stays, the formula goes. Business Central saves only the answer, so double-check it before moving on.
- Negative numbers. A plus or minus sign at the very end applies to the whole expression, so 10-20+ is saved as 10, not -10.
Best practices for your team
- Show the feature in user training. Most people never discover it on their own.
- Use brackets for anything with more than one step, so the order of calculation is clear.
- For recurring price rules, set up proper price lists or discounts instead of retyping formulas every time.
- Combine it with other data-quality features such as dimension combinations to keep your data clean.
